Is there free software for an oil shop in Pakistan?

Short answer: yes, free options exist, and for a very small shop one of them may genuinely be enough for now. What does not exist is free software that does vehicle history, WhatsApp invoicing, oil inventory and a Khata ledger together. If you need all four, you are going to pay for something.

We sell paid software, so take the rest of this with that in mind. But pretending free never works would be nonsense, and you would spot it immediately.

What "free" usually turns out to mean

When you search for free oil change software or free tyre shop management software, what comes back is almost always one of these four things:

  • A free trial. Fourteen or thirty days, then a bill. Fine, as long as you know that going in.
  • A free tier with a cap. Usually something like 50 invoices a month and one user. Workable for a tiny shop, frustrating the moment you grow.
  • Genuinely free but generic. Billing software built for retail shops. It will happily sell a bottle of oil. It has no idea what a number plate is.
  • Cracked software. More on this below, because it deserves its own section.

When free is actually fine

If you are one person doing eight or ten cars a day, everyone pays cash, and you recognise most of your customers by face, then you do not have a software problem. You have a notebook that works. Spending money to digitise that is solving a problem you do not have yet.

Same if you have just opened and you are still figuring out what you sell. Three months of running lean and watching what the area actually buys will teach you more than any dashboard.

Anyone who tells you every shop needs a POS from day one is selling something.

Where free quietly starts costing you

The break point is almost always the same, and it is not invoicing. It is the customer who does not come back.

Free billing software will print a bill. It will not tell you that the silver Corolla from March is three weeks overdue, and it will not message the owner. So that customer drifts to whichever shop they happened to pass, and you never find out it happened. There is no error message for a customer who quietly stopped coming.

Run the arithmetic on your own shop. If reminders bring back even four extra cars a month at a Rs. 1,500 average, that is Rs. 6,000, which is more than most monthly subscriptions in this market. Most shops that actually switch on reminders see considerably more than four.

The other place it bites is the second person. The day you hire someone to run the counter, you suddenly need a user account that can issue invoices without seeing your total revenue or your supplier costs. Free tiers almost never do roles.

Please do not run cracked POS software

It is common enough in Pakistan that it needs saying plainly. A cracked copy of some imported POS costs nothing up front and quite a lot later.

You cannot update it, so when something breaks you are stuck. There is nobody to call. It typically runs on one machine in the shop, which means the day that machine dies, so does every invoice and every customer record you have ever created. And you are putting your customers' names and phone numbers into software of unknown provenance, which is its own kind of risk.

Honestly, a clean Excel file is a better choice than cracked software. At least you can back it up and you know what it is doing.

The free option nobody mentions: Excel

A spreadsheet with plate number, date, mileage, oil grade and amount will take you a surprisingly long way. It is free, you own the file, and you can sort it. If you are not ready to pay for anything, start here rather than with some random downloaded POS.

It falls over in three predictable places:

  • Two people cannot use it at once without someone overwriting something
  • It will not message anybody, so you are still sending reminders by hand, which means you will stop after two weeks
  • Stock and sales live in separate sheets, so your oil count is always a little bit wrong

Still. Better than nothing, and far better than cracked.

So what should you actually do

If you are small and cash is genuinely tight, stay on paper or a spreadsheet and put your money into stock and signage instead. Nobody ever lost a shop because of their software.

If you are doing twenty-plus cars a day, running any amount of udhaar, or you have hired someone, the sums have already flipped. At that size the reminders alone tend to cover the cost several times over, and the Khata ledger stops the slow bleed that comes from a register page nobody can find.
